Delayed Progress Reports

Progress/Supervisory Visits have two requirements:
A progress/supervisory visit is to be done on or before every 10th treatment session (8 therapy-only visits).
When services are provided offsite by a PTA/COTA, there is to be a supervisory visit done every 30 calendar days.
If there is a delay in meeting either one of these requirements, here are the guidelines from the Medicare Benefit Policy Manual.
An Interim Report must be written if the patient has received more than 8 therapy-only visits.
If the patient has received < 8 therapy visits but has not been seen in > 30 days, an interim report is not needed. Document the reason for the delay in your next report.

It has been > 8 therapy-only visits since the last Progress/Supervisory Visit was done...
Write an interim report that explains the reason for the missed visit and documents what guidance you have provided to the assistant and the therapy plan of care.
Schedule a face-to-face supervisory visit with the patient within 7 days.
It has been > 30 days since the last Progress/Supervisory Visit but the patient has received < 8 therapy visits.
Schedule the Progress/Supervisory Visit before the 8 visits are reached.
Document the reason for the delay in your report.
An interim report will not be needed.
It has been more than 30 days since the last supervisory visit AND the patient has received more than 8 "therapy only" visits.
Therapy visits are not billable and LifeCare may withhold pay for nonbillable visits;
Complete an interim report to document the reason(s) for the delay;
Schedule to see the patient within 7 days.
